Pink Book Privacy Policy
Last updated: October 15, 2026
Applies to: Pink Book Companion at pinkcare.org, for users in the United States and Canada (the "app"), provided by Soaring Families and Thyme and Tell, Inc. (together, "we", "us").
The short version
- Pink Book keeps your care binder online so your care circle stays in sync.
- We store what you add, plus your name, email and phone number.
- Only people in your care circle can see your book.
- When you talk to Pink, our voice helper, your voice and words are processed by our voice partner, ElevenLabs, and the AI model it uses, Anthropic's Claude.
- Pink only suggests changes. Nothing is saved to your book until a person approves it.
- Your data is stored in Canada and the US.
- You can ask us to delete your account and data at any time.
- This is a pilot. Please leave out details we don't need, like ID numbers.
1. Who we are
Pink Book Companion is provided by Soaring Families and Thyme and Tell, Inc., 169 Madison Ave, Ste 15968, New York, USA. If you have a question about your privacy, email us at mia@narrastory.com. This email reaches the person responsible for our privacy practices, including for users in Canada.
2. What we collect
Your account. Your name, email address and phone number.
Your care book. Whatever you and your care circle add for the person you care for. This can include:
- care routines and menus
- contacts (grouped as Family, Team Members, Friends and Others)
- medications and health notes
- medical emergency information
Some of this is health information. We treat it as sensitive and protect it with extra care.
Your voice conversations with Pink. When you talk to Pink, we collect the audio and a written transcript. Short pieces of the transcript are also saved with Pink's suggested changes so a person can review them.
Invites and pilot codes. Who invited whom to a care circle, and the pilot code you used to join.
Waitlist. If you joined our waitlist, your contact details for that list.
Cookies. We only use the cookies needed to keep you signed in. We do not use analytics or advertising trackers.
3. How we use it
We use your information only to:
- run your care book and share it with your care circle
- let Pink interview you and suggest updates for a person to approve
- send you invites, sign-in and password-reset emails
- keep the app safe and fix problems
- run and improve the pilot
We do not sell your information. We do not use your care book or your conversations to train AI models. We do not use your information for advertising.
4. Who can see your book
- Your care circle only. A care book can only be seen by people who are members of that book's care circle. This is enforced in our database, not just on screen.
- Owners control invites. Only an owner can invite people to a circle.
- Caregiver profiles are only visible to people in the same circle.
- Printing. Anyone in the circle can print the book to PDF. Once printed or downloaded, a copy is outside the app, so please store and share it with care.
- Our team. Only our founders can access the systems that hold your data, and only to give you support or keep the service running.
5. The services we use
We use trusted partners to run the app. We share your data with them only so they can provide their service to us.
| Partner | What it does | Where |
|---|---|---|
| Supabase | Stores your account and care book | Canada |
| ElevenLabs | Runs Pink, the voice helper (voice, audio and transcripts) | US |
| Anthropic | Provides Claude, the AI model Pink uses (called through ElevenLabs) | US |
| Netlify | Hosts the website and app | US |
| Resend | Sends invite and account emails | US |
6. Where your data is stored
Your data is stored and processed in the United States and Canada (see the table above). If you live in Canada, this means some of your information is handled in the US, where it may be subject to US law, including lawful access by US authorities. By using the app, you understand that your information will be handled in both countries.
7. How long we keep it
- Voice recordings and transcripts held by ElevenLabs are kept for 30 days, then deleted.
- Transcript snippets saved with suggested changes are kept for 30 days, then deleted.
- Care books you delete are removed from view right away and permanently deleted after 30 days.
- Unconfirmed sign-ups (email never confirmed) are removed after 24 hours.
- Your account and care book are kept while your account is open, and deleted within 7 days after you ask us to delete them (during the pilot).
- Backups may hold copies for up to 7 days.
8. Your choices and rights
Wherever you live in the US or Canada, you can:
- see and change what is in your care book at any time
- ask for a copy of your information (access and export)
- ask us to correct your information
- ask us to delete your information
You can withdraw your consent at any time. Because Pink Book needs your information to work, this may mean we can no longer provide the app to you.
You can delete your account in Settings. You can also email mia@narrastory.com and we will handle your request within 7 days. Export is still by email during the pilot.
Questions or complaints. Please contact us first at mia@narrastory.com and we will try to put things right.
You can also contact your local privacy regulator:
- In the US, your state Attorney General.
- In Canada, the Office of the Privacy Commissioner of Canada (priv.gc.ca), or your provincial privacy regulator.
Some states and provinces give you extra privacy rights. We will honor the rights that apply where you live.
Shared books. A care book belongs to its circle, not to any one person.
- Caregivers: if you leave the circle or delete your account, the book stays with the circle.
- Owners: before you leave, please hand ownership to another member of the circle. If an owner deletes their account without doing this, ownership passes to the caregiver who has been in the circle the longest.
- Empty circles: if no members remain, the book is deleted after 30 days.
9. Keeping your data safe
We use access rules so only your circle can see your book, signed sessions for Pink, and email confirmation for new accounts. No system is perfect. If something goes wrong that affects your information, we will tell you in plain words what happened, what we did, and what you can do, and we will notify regulators where the law requires.
10. Children
Pink Book is for adult caregivers. You must be 18 or older to make an account. If the person you care for is a child, you may add their care information as their caregiver.
11. Changes to this policy
If we change this policy, we will update the date at the top and tell you by email before big changes take effect.
